Luton Council’s printer fleet refresh

Over the last few months, the DDaT team have been working on the refresh of the council’s fleet of printers with Ricoh being the new printer supplier. Ricoh has a strong record of delivering high-quality services to local authorities.

The goals have been to improve functionality and performance using the latest technology to ensure cost-effective printing, reduced maintenance needs and better value for money.

Following engagement with users, the overall printer fleet has been rationalised from 188 to 146 and we are confident that this will not affect the service provided by the print function. The number of different models of printers has also been reduced which should ensure better management of the fleet.

Stakeholder engagement involved online and in-person reviews together with site visits to ensure the requirements gathered accurately reflect the issues that teams have been facing. This also helped to identify a number of high dependency users where extra sensitivity will be required during delivery and installation.

Site surveys also took place with the delivery company to ensure an efficient delivery of the new printers. This will also help with the removal of the printers that are being replaced.

Two test models were delivered to the council in April and have been available for viewing by staff since then. They have also been used to test and refine the user interface that will be used both by users and technical support staff.

Delivery is due to start soon and discussions with Ricoh are taking place to ensure an efficient process that minimises disruption to council staff.
